Privacy policy

This privacy policy explains how Sublimation Ink collects, uses, stores and shares personal information in line with the Protection of Personal Information Act, 4 of 2013 (POPIA). It applies when you submit an enquiry, request a quote, place an order or interact with our team in Johannesburg and nationwide.

Our commitment to lawful information handling

Sublimation Ink, operated by Astros Marketing (Pty) Ltd, respects the privacy of every client, supplier and site visitor. We only process personal information where we have a lawful reason to do so, and we keep it limited to what is needed for quotation, order fulfilment, support, stock planning and related trade services.

We are based in Kya Sand, Johannesburg and serve customers across South Africa through courier and direct trade support. Personal information is handled for practical business purposes only, with care taken to keep records accurate and up to date.

What personal information we collect

We may collect the information you provide when you use our enquiry form, request product guidance or place an order. This may include details needed to identify your business, deliver goods and respond to technical questions about ink compatibility or print setup.

  • Name, surname and business name
  • Contact details and delivery address
  • Order history, invoice details and account notes
  • Printer type, usage details and product preferences
  • Messages you send to us through our contact form

We do not collect more information than we need for normal trade operations, and we do not ask for unrelated personal data. If you choose not to provide certain details, we may not be able to process a request properly.

Why we use your information

We use personal information to provide the services you request and to manage our relationship with you. This includes answering enquiries, checking product compatibility, preparing courier arrangements, supporting bulk orders and assisting with stock planning for recurring customers. It also helps us improve colour consistency advice and refill guidance where required.

  • To respond to enquiries and quote requests
  • To process and deliver orders nationwide
  • To provide technical and trade support
  • To keep internal records and manage accounts
  • To comply with legal, tax and business obligations

We may also use your details to communicate about order updates, collection arrangements or matters linked to an existing transaction, such as a courier delay or stock substitution. We do not use your information for unrelated marketing without proper consent where required.

How we share information with third parties

We only share personal information where it is necessary for our business operations or where the law requires it. This may include trusted service providers involved in payment processing, accounting, warehousing, courier coordination or data storage. They are expected to use the information only for the work they perform for us.

Where a courier is used for next-day delivery or nationwide shipment, we may provide the delivery details needed to complete the consignment. We do not sell personal information. We also do not share your details with unrelated parties for their own promotional use.

In limited cases, information may be disclosed to a court, regulator or other authority if we are legally required to do so. That is handled carefully and only where necessary.

How we protect and retain personal information

We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, misuse and alteration. Access is limited to staff members who need the information to perform their duties, including sales, technical support, logistics and warehouse coordination.

  • Secure storage and controlled access procedures
  • Role-based access for staff handling customer records
  • Internal checks for order and delivery accuracy
  • Retention only for as long as needed for business or legal purposes

Records are kept for the period required by applicable law, tax obligations and ordinary business practice. When information is no longer needed, we take steps to dispose of it responsibly. We do our best to keep records accurate, though occasional errors can happen and should be reported to us for correction.

Your rights under POPIA

You have rights in relation to your personal information, including the right to ask what information we hold about you, request correction of inaccurate details and object to certain processing where the law allows. You may also withdraw consent where processing depends on consent, subject to legal and contractual limits.

If you want to exercise a right or update your details, please use the enquiry form on our contact page. We may ask for reasonable proof of identity before making changes, to protect your information and prevent unauthorised access. We will respond within a reasonable time and in line with applicable law.

Cookies, security and policy updates

Like many business websites, our online systems may use basic cookies or similar tools to support functionality and understand general usage. These tools do not identify you on their own, but they may help us keep the enquiry process working properly and improve site performance for users in South Africa.

We may update this privacy policy from time to time to reflect legal changes, operational changes or improvements to our processes. The latest version will apply from the date it is published. Please review it occasionally, especially if you are a repeat customer or handle orders on behalf of a trade business.

If you have a privacy concern, our customer support team will assist and can direct the matter to the appropriate person for review.
